Privacy Policy

• Account information: your name, email address, organization name and the role of each member of your workspace.
• Connected mailbox data: when you connect a Google mailbox to an AI teammate, we access the emails, attachments and metadata of that mailbox through the Gmail API, within the permissions you grant, and send replies from it after approval.
• Teammate configuration and activity: instructions, allowed senders, connected tools, the steps each teammate took, proposed actions and approval decisions.
• Billing information: plan, usage records and billing contact details. Payment card details are collected and stored by our payment processor, not by us.
• Technical information: logs, IP addresses and device information needed to operate, secure and troubleshoot the service.

• To provide the service: process emails sent to your teammates, prepare work, request your approval and carry out approved actions.
• To secure the service: verify senders, prevent abuse and keep an audit trail.
• To bill you for your plan and usage, and to communicate with you about your account.
• To comply with legal obligations.

We do not sell your information, and we do not use mailbox content to train AI models or to serve advertising.

Piovo's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, data we receive from Google APIs is used only to provide and improve the user-facing features of Piovo that you configure (an AI teammate reading, organizing and replying to email in the mailbox you connected). It is not transferred to others except as needed to provide those features (for example, to the AI model provider that processes a task), to comply with law, or as part of a merger or acquisition with notice to you. It is not used for advertising, and humans at Piovo do not read it unless you give explicit consent for specific messages, it is needed for security purposes such as investigating abuse, or it is required by law. You can disconnect a mailbox at any time from your workspace or from your Google account settings; we then revoke our access and stop processing that mailbox.

We share information only with service providers that process it on our behalf to run Piovo, listed on our subprocessors page, and when required by law or to protect the rights and safety of our users and the service.

Data is encrypted in transit and at rest. Mailbox access tokens are stored encrypted with dedicated keys. Each organization’s data is isolated at the database level, access is limited to what an AI teammate has been granted, and high-impact actions require human approval before they run.

We keep mailbox content processed by teammates only as long as needed to provide the service and your activity history, and audit records for as long as needed for security and legal purposes. When you delete a teammate, disconnect a mailbox or close your workspace, we revoke access and delete the related data within 30 days, except where we must keep it by law.

Depending on where you live, you may have the right to access, correct, export or delete your personal information, and to object to or restrict certain processing. Contact us at privacy@piovo.team and we will respond within the time required by applicable law.

Piovo and its subprocessors process data in the United States. Where required, we rely on appropriate safeguards for international transfers.
